VENDOR CHECK-IN: Please report to the Vendor Check-in Tent. Specific locations to be announced.
FESTIVAL HOURS: The 2023 festival will operate from 1pm to 6pm, Saturday, June 10th. Vendors will be physically present and will not breakdown their booth until the 6pm closing time. Exhibitors are responsible for setting up and dismantling their own tent booths in the designated area during the designated setup/breakdown period. Vendors are also responsible for the maintenance and cleanup of their area. This event is Rain or Shine.
SETUP TIME: Saturday, June 10th; 10:00 am - 12:00 pm. Vendors must be setup and in place by 12:00pm.
UNLOADING: Arrive at the designated time. Unload your vehicle and immediately park your vehicle in the designated area. Return to your booth area for setup. Do not leave your vehicle parked in the roadway while you setup. This blocks vendors behind you who are trying to unload.
BOOTH SPACE: The festival does not provide tents, tables, chairs, electrical cords, etc. Exhibitors will arrange their booths so as to not interfere or obstruct the view of other booths. Booth spaces are assigned by the Vendor Coordinator. Vendors may use a white or other color canopy tent. No camping tents. 30lb minimum canopy weights on each tent leg is mandatory. Food vendors must have a current food vendor license and proof of insurance, a copy to be submitted with their application. With exception to food vendors, generators are not allowed.
PAYMENT SECURITY: Take advantage of technology. If you as a vendor use portable devices to process credit card payments upgrade your point of sale to process chip cards to avoid losses due to fraudulent activity. Check the card’s expiration date. Ask for government issued identification.
VENDOR CONDUCT: It is the desire of the West Park Arts Fest Committee for all vendors and participants to have an enjoyable day. All vendors are expected to conduct themselves in a professional and courteous manner when interacting with festival goers and fellow vendors.
The West Park Arts Fest Organizers (West Park Cultural Center and Fairmount Park Conservancy) are not liable for damages, injury or loss to any person or of goods. From any cause whatsoever. The West Park Arts Fest “Organizers” cannot be held responsible for any claims for damage, injury or loss arising out of or in connection with use of space and grounds in the festival.
Bounced checks will incur a fee of $25 and will result in denied festival participation.
